In a smaller environment transition is not a challenge. It is often a day
long process. You get a scanner, an ISP connection and probably a “document
management software”. We would take care of the rest.
In a larger environment, transition requires expertise and experience and a step-by-step
orchestration:
First, we set up the technology infrastructure:
- We would set up an internet virtual private network connectivity between our delivery
center and your premises.
- You need to get firewalls installed at your end to make this connectivity secure
and free from intrusion. (We already have firewalls installed at our end).
- You need to have arrangements to have all incoming documents scanned and uploaded
into a server, preferably in a document management system.
- We would test our ability to access your application systems and document management
systems from our delivery center. We would also test our ability to talk/chat
with each other.
Next, we set up the workflow:
- We study and map all your processes, business rules, algorithms and measure current
service levels
- We document the workflow for future (using the same processes), determine error
handling routines, and escalation routines
- If you have a work flow management system in place, you need to get the revised
workflow and rules updated into the work flow management system. We can help.
Next, we set up the dashboards:
- We agree on process metrics (number of documents processed, number of manhours worked,
number of errors, number of delays etc) that we need to report on a daily, weekly
or monthly basis.
- We set up an information process (delivered in spreadsheets or as digital dashboards
accessible through private pages accessible with password in our corporate web site)
Next, we need to manage the training process for our process executives to acquire
competence.
Next, we need to execute the transition in stages:
- Your executives work in your place with existing processes in existing system (we
watch)
- Our executives work in your place with existing processes in existing system
- Our executives work in our place with existing processes in existing system
- Our executives work in our place with improved processes in existing system (if/when
necessary)
- Our executives work in our place with improved processes in improved system (if/when
necessary)
